Our Approach to Artificial Intelligence (AI)
At Gatekeeper Communications we encompass the benefits of AI to enhance creativity, productivity, and the quality of our work. However, we also recognise the importance of using AI responsibly, ethically, and in line with data protection, intellectual property, and professional standards.
Our AI use is guided by our internal AI Policy, which applies to all employees, contractors, and anyone working on our behalf. This policy sets clear expectations to ensure that AI is used safely, transparently, and in a way that supports our commitment to accuracy, fairness, and confidentiality.
How We Use AI
We use approved AI tools such as Grammarly and CoPilot (paid versions) for specific business purposes including:
- as an assistive tool to help with research and identify key customer challenges/motivational drivers/emotional connections;
- for spelling/paraphrasing and to edit/amend text that is classed as ‘ai generated’;
- If we use copilot for editing purposes it to allow us to stick to word limits or to clarify a turn of phrase;
- summariser tools to establish common customer questions on a top or keyword research or data collection
- dictation tools to talk through ideas and to summarise those thoughts in a logical order.
AI is never used as a replacement for professional judgement. All outputs are reviewed, verified, fact-checked and edited by our team before being shared publicly or with clients.
What We Don’t Use AI For
We do not use AI to make automated decisions about individuals, nor do we use it to process personal data, confidential information, or client materials unless we have explicit consent and suitable safeguards in place. We also avoid using unapproved AI tools or plugins that have not been assessed for data security or privacy compliance.
Protecting Privacy and Intellectual Property
We take data protection seriously and comply with all relevant laws, including the UK GDPR, the Data Protection Act 2018 and the Data (Use and Access) Act 2025. We never upload personal or confidential information into AI systems unless we are certain it is safe, appropriate, and lawful to do so.
Any AI-generated material used in our business is checked to ensure it does not infringe copyright or other intellectual property rights.
Our Commitment to Transparency and Fairness
Where appropriate, we are open about our use of AI in creation and service delivery. We may note when AI has supported the drafting of materials, but all published or client-facing content is always reviewed and approved by a member of our team.
We understand that AI tools can occasionally reflect bias or inaccuracies, so we carefully review every output to ensure it meets our quality and ethical standards.
We ensure that all AI settings are switched to “not inform learning”.
Ongoing Review
Our use of AI is continually reviewed as technology and regulations evolve. We monitor new developments to ensure our practices remain compliant, responsible, and in line with best practice.
